FOR NON-RESIDENT FOUNDERS

Your US company mail, within reach from abroad.

Give your company a dedicated US mailing address while you run the business from your country of residence. Virtual Mail Hub lets you review arrivals online, request scans and arrange delivery of the originals you need.

Keep US correspondence connected to your working day

Your clients, suppliers and other eligible senders can use one company mailing address while you work overseas. Once your mailbox and business receiving name are active, share the assigned details and manage arriving correspondence online.

Keep a regular mail check as part of your business routine, alongside the responses and deadlines you manage.

Read company letters from abroad.

Request an open-and-scan and review the contents online when processing is complete. Decide whether a digital copy is sufficient for your next step.

Arrange delivery of selected originals.

Forward paper documents to yourself or a confirmed recipient. Check destination availability, item restrictions, handling and postage before requesting shipment.

Match each address to its purpose

Start with the question on the form or application:

Where should company mail arrive?

An active business mailbox provides a correspondence destination for permitted uses.

Who receives service of process?

Review the company's registered-agent arrangement and the relevant state's requirements.

Where does the business operate?

Provide accurate details of the place where you and your team work.

A provider may accept an overseas operating address. For example, Mercury lists verifiable international addresses among its physical-address options and excludes mailbox addresses for that purpose. Mercury company address requirements.

If your business also needs an office, bring the exact requirement so we can discuss available arrangements, permitted use and documentation.

When an original needs to reach your adviser

For example, a company letter arrives while you are overseas. You request a scan, review it and ask your adviser whether they need the original. If they do, confirm the receiving details and arrange forwarding.

This gives you a practical way to coordinate paper documents across locations. Allow for processing and carrier time, and keep any response deadline in your own calendar.

Prepare your receiving details

Have your company name, authorized recipient details and identity documents ready for onboarding. Complete the required mail authorization before directing USPS mail to VMH. Then update eligible senders with the exact assigned address and mailbox designation.

If the company is still being formed, ask how to arrange recipient setup before sending mail under its name.

FAQs

Questions non-resident founders ask

Can I begin the setup while living outside the US?

You can contact VMH from abroad to review the current onboarding process for your circumstances. Confirm the identity documents, business details and authorization steps needed before activation; do not assume every country or document is supported.

Do I need Form 1583 for company mail?

USPS mail receiving through a commercial agent requires customer authorization and identification. VMH will explain the current process for your account and business receiving name.

USPS recipient services

Will this address guarantee a business account approval?

No. The provider reviews your business and its own address requirements. Your company mailing address and actual operating location serve different purposes; a subscription does not guarantee approval.

Can you forward documents to my country?

Ask about your destination and the document before arranging delivery. Available services, customs requirements, processing time and shipping charges depend on the shipment. Confirm whether the recipient needs an original or can use a scan.

Does a mailbox subscription include company formation or a registered agent?

Confirm any additional service separately, including the state, scope and agreement. Choose the mailbox for receiving correspondence; company formation and registered-agent responsibilities need their own arrangements.

What should I do when an IRS or state letter arrives while I am abroad?

Request a contents scan as soon as the envelope image shows a government sender, then read the letter for what it asks and by when. A response date keeps running while the letter waits, so reading it early gives you the most time to act.

Share the scan with your accountant or adviser and agree on who responds. VMH lets you read the correspondence and arrange delivery of the original if someone needs the paper; it does not reply to agencies for you. When an original has to travel, allow for processing and international carrier time.

Which IRS forms accept a mailbox address for my company?

The IRS treats a mailbox as a mailing address, not as a physical location. On Form SS-4, the EIN application, line 4 is the mailing address and can be your mailbox. Line 5 asks for the physical location, must not be a PO box, and accepts a foreign address where the company is actually run.

Form W-7, the ITIN application, is stricter: its instructions ask applicants not to use a post office box owned and operated by a private firm, which describes a commercial mailbox. When the company’s mailing address changes later, Form 8822-B updates it with the IRS. How our EIN service handles the application.

Why does my company’s mailbox address include a PMB or # number?

VMH is a Commercial Mail Receiving Agency, and USPS rules require a CMRA address to carry a PMB or # designator with the mailbox number. That number is how your company’s mail reaches your mailbox, so give senders the address exactly as it is assigned.

The designator also keeps the address accurate. USPS address data identifies CMRA addresses and banks and platforms can see that flag, so writing the mailbox as a suite does not change what it is. Use it where a mailing address is asked for, and follow each institution’s rules for fields that need a physical location. What a CMRA address is.
