What is the best virtual mailbox for the money?

It depends on volume, and the reason it depends on volume is that providers price two separate things: the bundle and the overage. Comparing only the advertised plan price answers half the question.

Worked through: 30 pieces of mail a month costs $49 at Stable and $15 at Virtual Mail Hub, both billed annually. Add ten unexpected items and Stable adds $3 each, while Virtual Mail Hub adds $0.60 each. The plan-price gap and the busy-month gap are different numbers.

The same arithmetic works on any provider you are weighing, including ones neither of us sells against. Find the included count, the per-item rate, the seat cost and the deposit fee, then run them against a month you actually had rather than an average month. It takes about ten minutes and it is the only comparison that survives contact with a real mailbox.

What is the difference between a virtual address and proof of address?

They are two different things, and conflating them is the most common reason a business address fails a review.

A virtual address is where your mail is received. Any legitimate provider registers the location as a CMRA with the Postal Service, keeps a completed PS Form 1583 on file for each recipient, and addresses your mail with a PMB number. That is what makes it a real deliverable address, and it is enough for mail and for many state filings.

Proof of address is evidence of premises: documents in your company name showing where the business sits, typically a lease and a utility bill. A mailbox plan does not produce those, at either provider. Virtual Mail Hub's Verify plan does, by putting your company on a genuine commercial office lease. Whether any given bank or platform accepts a given address is their decision under their own published policy, so check it before you apply.

How hard is it to move a virtual mailbox to another provider?

Easier than most people expect, because it does not have to happen in one day. You complete Form 1583 with the new provider, which since May 2024 can be witnessed by trained staff in person or over live video, at no charge and with no notary appointment.

Then you update senders in order of consequence: banks, the IRS and your state filings first, payment processors and marketplaces next, everything else as it arrives. Your previous provider keeps handling whatever is still addressed to them while you work down the list, so nothing is stranded in the gap.
