FOR FREELANCERS

Give your freelance business a dedicated place for mail.

Give clients and suppliers a US correspondence address for your freelance business, separate from your home. Receive mail under your authorized personal or business name and review arrivals online between projects.

One mailing address for your client correspondence

A proposal, a contact page, a supplier account: running an independent business creates plenty of places to share an address. A separate mailing address gives that correspondence a home of its own.

Use VMH for business mail and eligible public-facing contact details. If you move apartments or change studios, you can keep using the same active mailbox without rebuilding your client contact list around a new home address.

A mailing address that fits independent work

An address for your client-facing business.

Use a dedicated correspondence address on eligible contact pages, proposals and invoices. Choose which address to share while keeping business mail separate from household mail.

Mail in the names your clients know.

Work under your own name or a business name? Include the recipient names you need during setup so client and supplier letters can reach your authorized mailbox. Recipient allowances depend on your plan.

Keep the same contact details as work changes.

A new apartment or studio can leave your business mailing address unchanged while your mailbox stays active. Review arrivals online and request delivery of an original when you need it.

Set up your address around the way you work

  1. Set up your receiving names.

Choose an available location and plan. Include your personal and business recipient names as needed, then complete identity and mail authorization before sharing the address.

  2. Update your business contact details.

Give clients and suppliers the exact assigned address, including the mailbox designation. Update the correspondence fields on materials you control where permitted.

  3. Make mail part of your admin routine.

Review envelope images online, request scans for letters you need to read and forward selected originals. Check handling, postage and storage terms before requesting a service.

Which address should I put on a W-9 as a freelancer?

The W-9 asks for the address where the client should mail your information returns, such as a Form 1099. If you want those forms to reach your mailbox, enter the assigned address exactly as VMH gives it, including the PMB or # number.

When your address changes, give the client an updated form. The IRS instructions ask you to mark a changed address as new, and a client may keep using the old one until its records are updated. Your name and taxpayer identification number still follow those instructions, and a tax adviser can confirm which address belongs on your own return.

Can I use a mailbox address to register my freelance business with the state?

Only in the fields that accept a mailing address. State forms for a trade name, sole proprietorship or LLC often ask for several addresses, and each has its own rule. A mailbox can usually serve as a mailing address. A registered agent address cannot, because the agent needs a staffed physical office in that state.

Some states also require a physical street address for the principal office. Read the instructions for each field before you file, and keep the PMB or # number wherever you do use the mailbox. The state’s filing office or an adviser can confirm what your registration needs.

Will clients and banks see that my business address is a mailbox?

They can. USPS identifies commercial mailbox addresses in its address data, and many banks and verification services check against it. The PMB or # number is a required part of your address, and mail that leaves it out can be returned to the sender.

For client correspondence that is rarely a problem: the address shows where your business receives mail. Where a service asks for a physical operating address, such as a bank account or payment platform, a mailbox may not be accepted, and no provider’s decision can be guaranteed in advance.
